Hotel Arrangements

Reservations should be made by contacting the hotel's toll free number: 800-234-5117. To ensure that you receive the group rate, advise the hotel you are attending a National Coil Coating Association meeting. You may also make reservations online using the following link:

The cut-off date for making reservations is March 13, 2012. Any reservations received after the cut-off date will be accepted on a space and/or rate availability basis only. Reservation confirmation will be sent to the guest no later than forty-eight (48) hours after the reservation has been received.

It is essential that you make your reservation with the hotel as quickly as possible to ensure that the hotel can accommodate your requests. If NCCA exceeds the number of rooms being held in the room block even if it is before the cut-off date and the hotel is sold out, the hotel will not be able to reserve a room for you. Even if you are not sure that you can attend, it would be better to make your reservation now, subject to change later.

The room rate for single/double occupancy is $199.00. All rates are for the European Plan (meals are not included). The hotel will honor the group rate three days before and three days after the meeting.

As a reminder, NCCA members are encouraged to use Loews Ventana Canyon Resort for your sleeping room accommodations. When NCCA selects a meeting location, the site hotel designates a block of rooms for NCCA, and we negotiate a group room rate that includes concessions such as complimentary meeting room space, discounts on audio/visual equipment, etc. When we fail to fill that block of rooms, NCCA must pay penalty fees for the rooms we don’t use and must forfeit negotiated concessions. The penalties can be substantial.

Many of the negotiated concessions reduce the overall cost of the meeting, which benefits all meeting attendees regardless of whether an attendee stays at the host hotel or not. If you do not plan to stay at the Loews Ventana Canyon Resort, please indicate that on the registration form to avoid needless follow-up from our office. The NCCA office needs an accurate count of members staying on property to ensure NCCA receives the proper credit for room usage.

Deposit and Cancellation Policy

A deposit equal to one night’s stay, plus tax, is required to hold each individual’s reservation. Such deposit shall serve to confirm the reservation for the date(s) indicated, and upon check-in, shall be applied to the first night of reserved stay. The hotel will accept payment in the form of a personal check or major credit card with expiration date. All deposits for individual room reservations are fully refundable, provided notice of cancellation is given seventy-two (72) hours prior to arrival. Any reservations cancelled less than seventy-two (72) hours prior to arrival are subject to deposit forfeiture of one night’s room and tax.

An early departure fee of $50.00 will be charged to your account if you do not advise the hotel prior to or at the time of check-in of your new departure date.

Check-in/Check-out

Check-in time is 4:00 p.m. on the day of your arrival. Earlier arrivals will be accommodated to the best of the hotel’s ability. Check-out time on the day of your departure is 12:00 p.m.

Gratuities

We will handle all gratuities in connection with cocktail parties and group meal functions.  All other gratuities are at your discretion.

Method of Payment

The hotel will accept cash, personal checks and all major credit cards.

Location / Transportation–Ground

The resort is nestled in the Catalina Mountain foothills on 100 acres of ancient Sonoran desert and is within minutes from premiere shopping boutiques, restaurants and popular tourist attractions. Loews is approximately 30 minutes from the Tucson International Airport and downtown Tucson.

Guest Parking

We have negotiated complimentary self-parking at the resort. Valet parking and short-term parking is available at the resort, at a rate of $9.00 a day.

Internet Access

We have negotiated with the hotel to waive the internet access fee in sleeping rooms. Internet access is complimentary in the lounge and lobby areas. There is additional cost for internet access in meeting rooms.

*Meeting attendees will need to be invited by a member company or approval will need to be granted by the member company in which the individual was an employee.

Individuals are responsible for their own travel expenses.

The registration fee includes the anniversary celebration dinner on Monday, April 23. No partial registration fees are offered.

Registration Information

We will have a registration desk where each participant can pick up a name badge and information regarding the meeting.

To register for the 2012 annual meeting, complete the registration form and submit it to NCCA Headquarters via e-mail at ncca@coilcoating.org, fax at 216-241-0105 or mail it with your check to the address on the form.

To pay by credit card, click on the following link: http://www.coilcoating.org/paypal/meetingregistration.htm. Enter the registration fee in the Item Price box. Keep in mind you need to perform two steps if you pay by credit card: 1) complete the registration form and return it to the NCCA office via fax or e-mail, and 2) pay your registration fee online through the online NCCA PayPal page.

Please do not provide your credit card information to the Association office. All credit card payments must be made online through the NCCA PayPal page. The credit card charge will be shown on your statement as NCCA. You will receive a receipt via e-mail from PayPal. Add service@paypal.com to your white list to ensure receipt of the e-mail from PayPal.

If you pay by check, you will receive confirmation of your registration from the NCCA office within two weeks of processing payment.

Please note that group registration is available. For groups of ten people or fewer where registration is being charged to one credit card, registration is available online. In order for your name to be printed in the final program, registration and payment must be received at the NCCA office by Tuesday, March 20, 2012.

NCCA’s Registration Cancellation Policy

Refunds must be requested in writing via e-mail or can be faxed to NCCA Headquarters at 216-241-0105 or mailed to NCCA, 1300 Sumner Avenue, Cleveland, Ohio 44115-2851. Refunds will be issued for those cancellations received at NCCA Headquarters by Monday, April 9, 2012. No refunds will be issued after Monday, April 9, 2012.
